The status quo
The global Philips organization's intranet, established in 2016, utilized heavily customized SharePoint pages and functionalities, resulting in a rigid and less adaptable system. Research indicated only 40% of employees were satisfied with the intranet, with many finding or creating workarounds to use content or complete tasks.
This prompted a major overhaul, migrating to Modern SharePoint based on a solar system concept with the 'sun' as the central hub. It was crucial to preserve current content and tools, considering them valuable for migration.
UX research
Our task was to devise solutions, starting with research. We examined existing studies and analytics, forming conclusions and assumptions for interviews. Subsequent phases involved numerous workshops on various topics and a deep dive into Modern SharePoint. Before crafting solutions, we conducted the critical task of mapping all current content and tools throughout the intranet landscape and sub-intranets.
Card-sorting and tree-tests
Armed with this knowledge, we sought to understand the mental model for clustering among Philips employees. Moderated qualitative and unmoderated quantitative card-sorting sessions were conducted with a cross-section of personas within the target audience, globally and across organizational levels. This provided valuable insights for an initial navigation and information architecture concept. Through tree tests with the same participants, we finalized the navigation design. The internal Philips Design team then implemented further developments in templates and the actual migration.
Result: Top tasks are now more quickly accessible through shorter click paths, and the overall structure aligns better with the organization's vision, while meeting user expectations and needs for the intranet.
